Before you start: prepare a real piece of work

Use a desktop or laptop and choose a customer you are already speaking with. You will get more value from a complete workflow than from filling every setting on day one. Have your business details, a logo and the scope and prices for one offering ready.

  • Your business name and the contact details clients should see.
  • The customer’s name, business and correct email address.
  • A clear description of the products or services you are offering.
  • The pricing, currency, payment terms and delivery arrangements.

The marketing site is readable on mobile. Use desktop for the full web workspace; our mobile app is coming next.

01 / Create your account and choose the workspace

Create your Moonbreak account and complete the setup shown in the app. If you are joining a team, use the email address on the invitation and confirm the correct workspace before adding customer information.

Select the workspace name near the bottom of the sidebar and open Workspace settings. Review Company Name, Email, Phone, Website, Address and Company Profile, then upload a readable logo. Your personal Profile is separate from the business identity on documents.

Read the workspace setup guide

02 / Add the customer and the company

Open Contact and use Search contacts before choosing Add Contact. Do the same in Company with Search companies and Add Company. Check Personal/Team and the active workspace first so a hidden record does not become a duplicate. Confirm the person and company before selecting them in Buyer Info.

Organize contacts and companies

03 / Prepare the products or services

Add the items you will quote with clear names, descriptions and current prices. Keep internal shorthand out of the customer-facing description. For this quotation, check the quantity and any options or exclusions so the scope is easy to understand.

A useful first example

A customer needs 12 office desks and 12 ergonomic chairs. Give each item its own description, quantity and unit price. Explain whether delivery and installation are included in the terms.

04 / Build your quotation

Expand Quotation in the sidebar and choose Create Quote. Complete the seven stages, then inspect the customer preview before publishing.

  1. Quote Details: give the quotation a recognizable name.
  2. Buyer Info: choose the right person and company.
  3. Your Info: review your business identity.
  4. Line Items: check items, quantities, prices and the total.
  5. Signature: review the signing requirements available on your plan.
  6. Terms & Expiry: explain the agreement and validity period.
  7. Review: inspect the complete quotation.
Follow the detailed quotation guide

05 / Review internally, then share

Read the preview as if you were the client. Resolve unclear descriptions, incorrect amounts or missing terms before publishing. If your workspace uses Scale approval workflows, complete the required review.

Open the public quotation link to check the customer view. Send it with a personal message that says what the quote covers and what response you need. A walkthrough can help explain a more involved proposal on a paid plan.

Add a useful video explanation

06 / Respond and confirm the agreement

Read customer questions and use the available engagement signals as context. Do not treat a viewed document as acceptance. Resolve the scope and commercial terms with the customer, and use the e-signature options on your paid plan when appropriate.

Prepare for e-signature

07 / Create the invoice

Expand Invoicing → Create Invoice. In Quote Selection, choose the correct quotation, then use Next Step. Review Notes & Details, including the amount due, due period, payment terms and notes, then inspect Review. Share it with the person responsible for payment.

Create an invoice from the quotation

08 / Keep the record current

Collect payment through your usual process and confirm it before updating invoice status. Keep the customer record and next action current. For a team, a short review of open quotes, outstanding invoices and unanswered questions helps everyone know what needs attention.

Build a useful weekly review

Choose a plan around the workflow you need

Free includes core CRM records and watermarked quotes and invoices. Paid plans add professional document branding, e-signatures, walkthroughs and more email capacity. Pro adds team performance visibility and Member access; Scale adds approval workflows, white-label links and multiple-workspace management.
