HELP / QUOTES & INVOICES
Prepare a quotation for e-signature
Make acceptance clear, check the signer and understand the included signature allowances.
Confirm the document is ready to accept
Before requesting a signature, check the buyer, item descriptions, amounts, currency and terms. Resolve unanswered questions about scope and timing. The person signing should understand the quotation and be authorized to accept it for the relevant business.
Review the signature settings
In the quotation’s Signature step, choose the acceptance method appropriate to the agreement. No Signature Required, Written Signature Space and Electronic Signature serve different purposes. Electronic signing requires a paid plan and an available allowance. Inspect the acceptance text and signer fields in Review before sharing.
Review the quotation stepsChoose the right acceptance method
A blank signature area is not the same as collecting an electronic signature. Make the customer’s next step explicit.
| Option | Use it when |
|---|---|
| No Signature Required | You do not need a signature field for this quotation. Agree acceptance through your normal business process. |
| Written Signature Space | The customer needs space to print and sign manually. A blank field is not a recorded electronic signature. |
| Electronic Signature | You want the customer to sign through the online quotation, subject to plan limits and applicable requirements. |
Additional signatory fields, such as a title or company name, provide context. They do not independently verify someone’s identity or authority.
Check the plan allowance
Growth includes 15 e-signatures per month, Pro includes 30 e-signatures per month, Scale includes 60 e-signatures per month. Additional e-signatures are $0.90 each on paid plans.
| Plan | Signers per document |
|---|---|
| Growth | Up to 1 |
| Pro | Up to 3 |
| Scale | Up to 5 |
Additional signatures are charged per additional e-signature. This is separate from the included monthly allowance and the signer limit per document.
After the customer signs
Review the acceptance shown on the quotation and confirm the agreed next step, such as delivery, a start date or an invoice. If the scope changes afterwards, agree the change clearly with the customer. Do not assume the earlier acceptance applies to new items or different terms.
Keep the agreement and its context
Retain the final accepted document and the relevant correspondence through the document controls available to you. If a client asks to amend an accepted offer, agree the change before relying on a previous signature. For transactions with special formalities, obtain advice on whether this signing method is suitable; do not assume every document can be signed electronically.
If the client cannot sign
Check the workspace plan, document state, selected signing options and whether the intended signer is using the current public link. Ask the client to use a current browser and reload the document. If the issue persists, contact support with the reference and the visible error rather than customer credentials.
Whether an electronic signature is suitable can depend on the location, document and transaction. Check the requirements for your own agreement; Moonbreak’s guide is not legal advice.
