HELP / QUOTES & INVOICES
Create and send a professional quotation
Follow the seven quotation steps, review the customer experience and share a clear offer.
Prepare the offer
Have the buyer’s details, item descriptions, quantities, prices, currency and commercial terms ready. Agree internally on what is included and what is excluded. If a manager must approve the offer, allow time for that review before promising a delivery date to the customer.
Complete the quotation workflow
Expand Quotation in the sidebar and choose Create Quote, or use Create Quote from All Quotes. Start from the app navigation so it can initialize the quotation correctly. Complete the seven stages in order; inspect the final Review before using a save, publish or send action.
- Quote Details: give the quote a name that you and your team will recognize.
- Buyer Info: select the correct contact and company. Confirm who will review the offer.
- Your Info: inspect the business identity and contact information shown to the customer.
- Line Items: choose or add the relevant items, then check descriptions, quantities and prices.
- Signature: review the signing options and requirements available on your plan.
- Terms & Expiry: state the commercial terms and validity period clearly.
- Review: inspect the complete quotation before publishing.
Make the line items and terms agree
Use a separate row for each item the customer needs to understand. Confirm the quantity, unit price, currency and any discount or tax. State whether delivery, installation or ongoing service is included. Check the total against the scope, and resolve any difference before requesting approval.

Find a saved document again
Return to Quotation → All Quotes. Use Search quotations, Personal/Team and All Status to locate the record. The table identifies the client, status, amount and creation date. Check the document state before taking the next action; a draft should not be treated as a published offer.
Understand document status and sharingCheck the total and the terms together
A correct total is only part of a clear offer. Review the currency, quantities and any tax or discount shown, then make sure the written terms match the commercial arrangement. Explain delivery, installation or service exclusions where relevant. Do not rely on the customer remembering a separate conversation.
Complete any required approval
If your Scale workspace requires approval, submit the document to the configured reviewer or reviewers and address requested changes. The administrator, approver or owner responsible for the decision should verify the customer, scope and commercial terms before approving the document.
Review the approval workflowFollow up and keep the agreement clear
Review replies, comments and available engagement signals. Resolve questions before requesting acceptance. If the offer changes, review the current document and explain the change to the client. When the work is agreed, prepare the invoice according to your payment arrangement.
