Confirm what you are billing

Check the agreed quotation and the commercial arrangement before creating the invoice. Confirm which work is being billed, who should receive it and when payment is due. An invoice should make sense to the accounts contact even if they were not part of the original sales conversation.

Select the source quotation

Expand Invoicing and choose Create Invoice. The builder has three stages: Quote Selection, Notes & Details and Review. In Quote Selection, open Choose a quotation and select the correct customer’s quote, then choose Next Step. If it is missing, check your workspace, permissions and the quote’s state before creating another record.

Complete Notes & Details

Check the amount due, choose the due period and enter the payment terms and invoice notes. Payment terms should explain the payment instructions, including verified bank details when relevant. Notes can explain the billing stage or customer reference. Review these details against the agreement rather than treating the quotation total as the amount due for every invoice.

  • Identify the quoted work and the relevant billing stage.
  • State when payment is due.
  • Explain how to pay and which reference to include.
  • Provide a clear contact for invoice questions.

Bill a deposit or a stage clearly

If your agreement calls for staged billing, identify the stage and confirm how much is due now. Review other invoices for the same work so you do not charge twice. Do not assume a previous invoice or payment has been automatically deducted.

Make the billing stage explicit

“Deposit for the office furniture order — 40% of the agreed $6,660 subtotal: $2,664, before any applicable tax. Balance due according to the accepted payment terms.” Reconcile taxes, prior payments and the final balance against your own records.

Review, approve and publish

At Review, inspect the complete invoice rather than only the amount. If your Scale workspace uses invoice approval, complete that process before publishing. Open the customer-facing document and check the identity, recipient, amount and payment instructions.

Understand document approvals

Send a short, useful message

Tell the recipient what the invoice covers, when it is due and where the payment instructions are. Send it to the person responsible for processing payment, and include the customer’s agreed reference where needed.

Invoice email example

Hi Alex, Here is the invoice for the office furniture order. The amount due and payment instructions are included in the document. Please use the invoice reference with your payment. Let me know if your accounts team needs any additional information.

Update the status after confirming payment

Collect payment through your usual process. Once you have confirmed it, update the invoice record in Moonbreak. Review outstanding invoices regularly and follow up with a clear question. The workspace does not promise automatic payment collection or bank reconciliation.

Your subscription to Moonbreak is separate from the payment your customer makes for your goods or services.
