Start with the agreement, not a blank document

An invoice should reflect the work the customer approved. Moonbreak starts the invoicing workflow with a quotation, so the customer and quoted work remain connected. Review the details for this particular billing stage before sharing.

For a supplier, that could mean preparing the invoice once the order is confirmed. For a service business, it could mean billing according to the payment arrangement in the quotation. Your agreement determines what is due.

From quote to invoice in three stages

Use the invoice workflow to turn the agreed work into a document your customer can act on.

  1. Quote Selection: choose the eligible quotation for the work you are billing.
  2. Notes & Details: review the amount due, payment terms and instructions.
  3. Review: check the recipient, amounts and complete invoice before publishing.

Make payment instructions unambiguous

Tell the customer how to pay, which reference to use and who to contact with a question. Check banking or collection details carefully before publishing; the invoice should match the arrangements you agreed directly with the customer.

Include a clear description of the billed work and avoid relying on an email thread to explain the amount. The invoice should make sense to the person processing it, even if they were not part of the original discussion.

Keep the invoice status in step with reality

Receive payment through your usual collection process, then update the record in Moonbreak. Review outstanding invoices regularly and confirm the actual payment before marking an invoice paid.

Moonbreak organizes the invoice and its status. It does not collect your customers’ payments or promise automatic bank reconciliation.

Your Moonbreak subscription payment is separate from the payments your customers make to your business.

Present the same business from quote to invoice

Use consistent business details and branding throughout the customer experience. Paid plans remove document watermarks; Scale adds white-label public links and approval workflows for quotes and invoices.
