HELP / WORKSPACE BASICS
Organize contacts, companies and products
Create dependable customer records and a reusable list of the products or services you sell.
Understand the three records
A contact is a person. A company is the business connected to the opportunity. A product is an item or service you can use in a quotation. Keeping these concepts separate makes it easier to choose the right buyer and explain the work clearly.
| Record | Example | What to check |
|---|---|---|
| Contact | Alex Morgan | Name and reachable business email. |
| Company | Cedar & Co. | Correct business name and transaction details. |
| Product or service | Office desk, 48 × 24 in | Description, unit price and relevant details. |
Look for an existing record first
Open Contact or Company in the sidebar. Check the workspace and Personal/Team selection, then use Search contacts or Search companies. Search by a recognizable name and inspect the matching records before choosing Add Contact or Add Company. Pagination can hide a record that is not on the first page.
Add the person and company
Choose Add Contact for a person. Review First Name, Last Name, Email Address, Phone Number, Job Title and Company, plus Contact Owner and Lifecycle Stage. Use Create Contact for one record or Create & Add Another when entering several. Add Company creates the business record separately. Check the resulting person and company before selecting the buyer in a quotation.
An email address in a customer record is not permission to send unrelated marketing. Use information in line with your relationship, notices and applicable requirements.
Create a useful product or service entry
In Products, add an offering with a customer-friendly name and description. Include enough detail to distinguish it from similar items. When preparing a quote, verify the item’s current price and the quantity for this particular job rather than relying on memory.
Clearer item descriptions
Keep a dependable product catalog
Products has its own list, search and Personal/Team filters. Reuse a product record when it represents the same offering, then check the quantity and agreed price for each customer quote. The Inventory view is separate from customer and company records.
Set up products and review inventoryReview records as the relationship changes
Update customer details when a contact changes role or a business gives you new billing information. Confirm important changes directly, particularly payment details. Before publishing a quote or invoice, inspect the resulting document rather than assuming an edited record has changed an existing document.
