WORKING BETTER
Make good work a repeatable habit.
Practical working habits for cleaner customer records, clearer proposals, thoughtful follow-ups and dependable invoicing.
Keep one dependable customer record
Before creating a new contact, check whether the person or company already exists. Agree a simple naming convention with the team and review the information when the relationship changes.
Make customer records useful for the next person: accurate names, reachable contact details and the right business connected to the quote. More fields do not automatically mean a better record.
Build cleaner customer recordsWrite scope that survives a handoff
The person approving the quote may not be the person who asked for it. Use descriptions that make sense without the original conversation. Separate quantities, prices, deliverables and terms so the reviewer can understand what they are accepting.
- Name the actual product, service or deliverable.
- Explain relevant sizes, stages or inclusions.
- Make exclusions and dependencies visible.
- Check that the written terms agree with the itemized offer.
Give a follow-up a purpose
Ask a useful question, clarify an open point or confirm timing. Avoid repeating “just checking in” without adding anything the customer can act on. Review the document and your latest conversation first; engagement signals provide context, not proof of interest.
From a nudge to a useful question
Treat approval as a decision, not a checkbox
Agree which commercial decisions require review and who is accountable. When using Scale approval workflows, have the reviewer check the customer, scope, amounts and terms. Fix the document before it reaches the customer, rather than expecting the email to explain an internal disagreement.
Keep the invoice connected to the agreement
Review the invoice against the quotation and the payment arrangement. Check the recipient, amount due, currency, reference and payment instructions. Confirm actual payment before changing the invoice status.
Understand the role of each documentUse a short weekly review
A consistent review is easier to maintain than a last-minute cleanup. Set aside time to look at the work that needs a decision.
| Review | Decide |
|---|---|
| Open quotations | Which client needs an answer or a clearer next step? |
| Customer comments | Who is responsible for the reply? |
| Pending approvals | What information is the reviewer missing? |
| Outstanding invoices | Is the record current, and who will follow up? |
| Workspace access | Do roles still match people’s responsibilities? |
Keep the system useful for the people doing the work
Start with habits the team can sustain. Remove duplicate records, keep document names recognizable and avoid collecting information nobody uses. The workspace should make a handoff clearer and a next step easier to identify.
