Give each person an appropriate role

A growing business needs more than shared access. It needs clarity about who can work on customer records, who can manage the workspace and who should review an important proposal.

Moonbreak includes Owner and Admin roles on every plan. Pro adds the Member role; Scale adds Approver and approval workflows. Choose roles around responsibilities rather than giving every person the same level of access.

Make review part of the workflow

Scale supports approval workflows for quotes and invoices. A team member can be required to request approval from a configured administrator, approver or owner, including a process that requires all selected reviewers.

• Decide who is accountable for commercial approval.
• Assign the appropriate reviewer or reviewers.
• Check scope, amounts, payment terms and recipient before approving.
• Resolve requested changes before sending the document to a customer.

Stay close to activity without chasing every update

The team activity timeline on paid plans shows work as it moves through the workspace. Pro and Scale add a sales leaderboard and performance and revenue analytics. These views give a manager starting points for a more useful conversation with the team.

Look at the context behind the figures: which customers need an answer, which quotes are waiting on a decision and which invoices need a status update. A leaderboard should support judgment, not replace it.

Keep separate businesses in separate workspaces

Scale supports managing multiple workspaces from one account. Switch between the businesses or teams you manage while keeping their records, identity and subscription coverage separate.

Each workspace needs its own subscription. Before entering customer information or publishing a document, check that you are in the correct workspace.

Build a review routine that the team can maintain

A short weekly review can keep customer work moving without turning the CRM into an extra reporting burden. Review active quotations, unresolved client questions and outstanding invoices, then agree who owns each next step.
