HELP / QUOTES & INVOICES
Prepare quotation and invoice templates
Review reusable layouts, business identity and document details before sending customer-facing work.
Choose the correct template area
Expand Quotation → Templates for quotation layouts, or Invoicing → Templates for invoices. Confirm the active workspace and that your role permits the change. A template is a reusable starting point; the actual document still needs its own review.
Check the identity and layout
Use a crisp logo and accurate business information. Give the customer, line items and total enough space to remain readable. Keep optional sections only where they help explain the transaction. Test a longer customer name and a realistic item description in the preview.
Give each document the right purpose
Quotes and invoices share some information, but they ask the reader to do different things.
| Quotation | Invoice |
|---|---|
| Explain the scope and proposed pricing. | Identify the agreed work and the amount due. |
| State how long the offer is valid. | State the payment deadline or terms. |
| Make the acceptance method clear. | Give verified payment instructions and a reference. |
Use defaults carefully
Review any default terms, labels and document sections for your business. A template cannot determine the correct tax treatment, contract terms or customer details for every transaction. Save only when the intended reusable settings are ready, and check a new document after changing them.
Review existing documents separately
Do not assume a template change updates existing quotations or invoices. Open any document that needs a correction, inspect the current version and explain material changes to the customer. An accepted document should not be silently replaced with a different agreement.
